The Compliance and Training Associate contributes to the development, maintenance and execution of compliance and training strategies. This entails enabling fit for purpose processes and tools and facilitating the right organisational culture in order to ensure reconstructable and trustworthy data that support internal decisions and external scrutiny. Responsible for day-to-day compliance and training  support. This means ensuring employees receive the right training at the right time, ensuring all required procedures, tools and documents are clear, up to data and accessible and ensuring data and material transfer and archiving is organized such that all is findable, accessible and complete. Finally, monitoring of compliance and continuous improvement via meaningful metrics and adequate communication and collaboration. 1 day/week you go to the office in The Campine (De Kempen).

Key responsibilities include:

Archiving and data transfer:

  • Act as Record Coordinator to ensure respond to questions and audits
  • Manage archiving activities for internal & external data 
  • Maintain the archiving Portal
  • Create entries for internal and external data  
  • Track and coordinate external data transfers to contracted archiving facilities
  • Update tracking sheet as required 
  • Create Purchase Orders 
  • Identify and address gaps or opportunities to be more efficient/proactive or cost savings related to archiving and data transfer

Procedures, documents, tools:

  • Provide administrative support for documents, maintain templates, approval process, reminders for timely updates,...
  • Setup and maintain comprehensive information on portals and other SharePoint sites

Training:

  • Manage access, training assignments and trouble shooting
  • Assist training owners to ensure optimal training process
  • Facilitate setting up a role-based-curricula and implement them
  • Manage and maintain onboarding platform, tools & resources
  • Identify and address gaps or opportunities to be more efficient/proactive about training

Monitoring/metrics:

  • Generate quarterly compliance metrics; design the format, ensure oversight to details and deadlines, provide customized overviews to client groups
  • Assist in developing compliance metrics/monitoring and continuous improvement beyond timelines

Requirements information

  • Proficient in English language
  • Team player, able to work in global matrix

  • Proficient with Microsoft applications (Word, Excel, PowerPoint)
  • Strong written and visual communication skills is a plus
  • Proficient with designing visually attractive and structured SharePoint sites, Portal, training, metrics, communication messages is a plus
  • Able to manage different parallel tasks with a high level of accuracy

Education & experience:

  • Bachelor preferably in life sciences, science, administration or marketing
  • Experience in Quality, Compliance or Operations role is a plus
